If you are flying from Jeddah
Work backwards from your flight. First find your airline's check-in closing time. Then allow four to four and a half hours of driving, then a buffer for stops and traffic on the highway. Do not cut it close
Stops and traffic can cost an hour you did not plan for, so be conservative. A long wait at the airport is better than a missed flight.

If you are staying in Jeddah
Give us the hotel or address. Jeddah is a long city, so tell us which part you are going to, such as the Corniche, Al-Balad or a business district, and we will plan the drop-off.
Leaving a Madinah hotel
Checkout near the mosque is busy in the morning, and the car may have to wait some way from the entrance because of the road restrictions. Tell us the hotel and we will agree where to meet, and ask the hotel to bring your bags to that point if it can. Leaving after the dawn prayer gives you the cooler part of the day on the highway and a margin if you are flying.
Stopping in Makkah on the way
Some people go from Madinah to Jeddah via Makkah, for example to do Umrah before flying home. That adds a long detour and several hours, so plan it as separate legs: Madinah to Makkah, then Makkah to Jeddah Airport.
Luggage at the end of a trip
After Madinah, bags often include gifts and dates. Count them before you book so the vehicle is big enough, particularly if the group is large.

A last morning in Madinah
Many visitors want one more prayer at the Prophet's Mosque before leaving. If you plan this, put the luggage in the car or at reception first, set an exact meeting time and leave margin for the crowds returning from the mosque. A car that must wait while a group walks back from the mosque loses time, and the road does not give it back.
A margin that actually works
Work backwards from the departure gate: when the airline wants you at check-in, when you must leave the airport kerb, how long the highway takes and how long it takes to load and leave the hotel. Then add a cushion for a long fuel stop, a slow stretch near Jeddah and the unpredictability of departure terminals at peak times. A cushion of an hour or more is not excessive for a four-hour road.
People who arrive in time for their flight rarely regret the extra hour. People who miss it always do.
